Amazing Spaces is seeking a dynamic and enthusiastic individual to join our Corporate Team as an Office Manager/Accounting Assistant. The ideal candidate will have a positive attitude, excellent communication skills, will look for ways to go the extra mile and remain adaptable and flexible under pressure.  This position is suited for a person who loves variety in their work and is an expert at juggling many tasks. Our Corporate Office is conveniently located in the Market Street area of The Woodlands, Texas. The Office Manager/Accounting Assistant will report directly to the Human Resource and Accounting Director but also lend support to other executive level staff members.

Key Responsibilities:

Job Responsibilities will include:

  • Assisting with Accounts Payable duties such as invoice coding, auditing payments for accuracy and weekly check run mailing
  • Assisting with Accounts Receivable duties such as posting daily cash deposits, bank deposit preparations, entry adjustments, W9 requests and bank runs as needed
  • Other Accounting duties will include assisting with quarterly reserve reimbursement requests, sales tax filings, month-end/year-end close procedures and monthly bank statement and company credit card reconciliation
  • In addition to Accounting related duties, this position will also encompass office management functions such as coordinating monthly corporate meetings and taking/distributing meeting notes, creating, editing, and proofing letters, emails, marketing materials, and human resource documents as needed
  • Tracking, managing and directing all incoming phone calls and emails received by the front desk
  • Processing incoming mail and prepare outgoing items
  • Perform miscellaneous clerical duties, such as writing reports, scanning documents, filing and greeting incoming visitors
  • Ordering and tracking office supply purchases, running errands, maintaining cleanliness and organization of office kitchen, and assisting in problems with office machines
  • Attends company events, training or networking functions as needed
  • Special projects and other duties as assigned
  • Maintains confidentiality and financial security by following Corporate Office protocol

Required Experience:

Job Requirements:

  • Mastery of MS Office – with special emphasis on Word, Excel and Outlook
  • Working knowledge of QuickBooks or similar accounting software
  • Understanding of basic accounting concepts and desire to learn
  • Minimum 2 years similar office experience
  • Associates degree or higher preferred
  • Excellent data entry skills
  • Experience with data analysis and reporting a plus
  • Outstanding work ethic and commitment to individual and company success
  • Strong attention to detail, accuracy, timelines and procedures
  • Well-organized and self-motivated
  • Ability to work both independently and also as part of a team
  • Must be reliable, punctual and professional
  • Notary Public preferred

Salary dependent upon experience. Extensive benefit package offered including paid time off, access to medical and dental insurance plans and an option to participate in the company’s 401k plan.
